Best File Organizer for Consultants on Mac (2026)
Consulting files multiply by client, project, proposal, and billing cycle. The system has to make boundaries clear without forcing every ambiguous file into the wrong place.
Full disclosure: I make Sorted. This guide says where it fits, where it does not, and when a different product is the better choice.

The deciding question
Do you need a private personal library, or shared team automation across many client workspaces?
Short answer: Sorted is best when the job is building a private, searchable document library on one Mac. It is not automatically the best choice for teams, specialist reference management, media libraries, or regulated systems of record.
The picks
Best options at a glance
Sorted

Best for: Consultants with stable naming conventions
Exact automations are hard to beat when inputs are predictable.
See why Hazel may fit ↗Where Sorted fits
A private library you can search and question.
- Manual client rules run before model suggestions
- Uncertain moves stay in the approval queue
- Search and Ask Sorted work across proposals, contracts, briefs, and invoices
- Activity history explains what moved and why
Where it does not
The honest limits matter.
- Sortio is a better fit for cross-platform teams and large batch renaming.
- A shared client DMS is better when permissions, retention, and collaboration are mandatory.
- Sorted is intended for one local Mac library.
Beyond the headline
What Sorted actually includes
Automatic watched-folder intake
Watch multiple folders recursively. New or changed files enter the same deduplication, extraction, indexing, rules, approval, and activity pipeline while source folders stay untouched.
PDF, scan, image, and Office understanding
Extract searchable text from PDFs, scanned pages, images, Word, PowerPoint, Excel, CSV, Markdown, JSON, RTF, source code, and plain text using local parsers and Vision OCR.
Hybrid search that respects exact matches
Search filenames, paths, tags, identifiers, and extracted text while semantic retrieval adds meaning-based matches without hiding strong literal results.
Conversational questions with evidence
Ask by text or voice, continue with follow-up questions, and open the cited file and PDF page. Sorted asks for clarification or abstains when local evidence is weak.
Rules, confidence, and approvals
Sorted proposes document types, tags, and destinations. Manual moves stay locked, deterministic rules run before model suggestions, high-confidence matches can move automatically, and uncertain proposals remain editable and reviewable.
Exact and visual duplicate review
Streaming SHA-256 prevents exact copies from being published twice. Perceptual fingerprints surface visually similar images for side-by-side review instead of automatic deletion.
Transaction questions and Tax Packs
Ask totals, counts, averages, lists, and merchant or monthly breakdowns from extracted statement transactions, then export originals, CSVs, hashes, activity, and a needs-review queue.
Recovery without trapping your files
Cancel or retry ingestion, reconcile missing or externally moved files, rebuild the search index, preview with PDFKit or Quick Look, reveal in Finder, and undo supported organization changes.
Private by default
Files, OCR, extracted text, embeddings, questions, and answers stay on the Mac. Sorted requires no account and limits access to folders selected through macOS.
A workable setup
How I would use it
- 01
Create a client folder only when the work needs a real boundary.
- 02
Add rules for signed contracts, invoices, and final deliverables.
- 03
Review ambiguous drafts instead of auto-moving every weak match.
- 04
Use cited answers to find renewal dates, fees, or scope language, then open the source.
Why Sorted exists
Finding the document should not depend on remembering where you filed it.
Sorted watches selected folders for new and changed files, reads supported documents locally, builds a semantic index, applies your manual rules before model suggestions, keeps uncertain changes reviewable, and answers with citations back to the source. It costs $9.99 once.
The local answer model is intentionally lightweight. Do not expect frontier-model quality. Open the cited page before relying on an important date, amount, name, or conclusion.
Questions
What to know first
- Can Sorted organize files by client?
- Yes. Custom rules can move and tag known client material before model suggestions run.
- Can a team share one Sorted library?
- Sorted is currently a local personal Mac app, not a shared team workspace.
- Will it rename every file automatically?
- The current focus is organization, retrieval, rules, duplicates, and cited answers. Sortio is stronger for large renaming jobs.
